Try barbershop booking software: what to prepare before the first client books online

A haircut has its own repeat cycle, so a barbershop launch should be planned around the rhythm of regular clients as much as around new inquiries. Signing up takes no credit card, which means you can try barbershop booking software on a real working week before paying for anything.

  1. Set up services with the time a barber actually spends on them: a haircut, a beard trim, the two combined. Build chair cleaning and tool prep into that same duration, or the form will offer the next client before the station is ready.
  2. Add your barbers as resources and link each service only to the people who really do it. If someone on the team does not do beards, clients will not see that barber as an option for the service and will not end up booked with the wrong person.
  3. Set a cyclic weekly schedule, then add one-off exceptions on top of it: a short day, a shift swap, a vacation. A lunch break can be added straight from the schedule screen, and the form stops offering that time. Before you lock the schedule in, check which days and hours clients actually book, and put more barbers on those hours.
  4. Add the form link to your Instagram profile header and to a saved Direct quick reply. A question about an open slot tonight then takes one message to answer, and the appointment lands in the schedule without anyone retyping it from a chat. That client now gets reminders too, which a booking agreed in a chat never gets.
  5. Turn on reminders before each visit, plus a separate Remind-after reminder set to the usual gap between haircuts. The history of your regular clients shows that gap more accurately than the front desk's gut feeling. To set it per service, follow the guide to return visit reminders.

What barbershop owners ask before they start

Do I pay for every barber even when there are fewer chairs?

The license is priced by resources, meaning whatever you actually schedule, not by the headcount of your team. When you have more barbers than chairs and they work in shifts, count the way you run the schedule, by chairs or by people.

My barbers work on commission. Can the system work out their share?

Yes. A pay model is assembled from accrual rules: commission on completed appointments, a flat rate, and pay from product sales when a client buys something after the cut. The rules are grouped into a scheme, which is easiest to set up per role, for example one for barbers and one for trainees. Before the first payout, agree with the team whether a barber is compensated for a discount the shop itself announced.

How can I tell that a regular client has stopped coming?

The rule of thumb in the help guides is double the average interval between visits, and for a barbershop they name six weeks. Before you reach out to that client, look for the reason. Often the barber they used to see has left, or their usual time slot is gone, and in that case the fix is the schedule, not a discount.
