The staff mobile app
What a specialist does from their phone, why it takes load off the administrator, and what it costs
The staff app is a free Android and iOS application in which a specialist sees their own appointments, adds information about the client, and records the outcome of the service delivered. It does not need frequent updates and installs on a company device or a personal phone alike.
Why it matters
Without it, every "who is next" and "are they coming" goes through the administrator. That is not a problem at three appointments a day and is a problem at thirty.
| Without the app | With it |
|---|---|
| The schedule is asked for at the front desk | The specialist looks it up |
| A note about a client lives in someone's head | It is written on the record |
| The outcome is recorded in the evening, or never | Straight after the service |
| A schedule change arrives late | It is visible at once |
What a specialist can do
- see their appointments for the day and the week
- open an appointment's details and the client record
- add information about the client
- record the outcome of the service delivered
How much they can see is governed by permissions: if client contacts are closed at the permission level, they are closed in the app too.
Personal phone or company device
Both work, and the choice is between convenience and control:
- A personal phone. Nothing to buy, and the person already knows how to use it. Access is governed by permissions and closed by disabling the user when they leave.
- A company device. Justified where the app exposes sensitive data, or where the phone stays at the workplace.
For most service businesses the first is enough, provided permissions are configured.
The staff app and the company app are different things
These get confused constantly:
| Staff app | Company app | |
|---|---|---|
| Who it is for | Your team | Your clients |
| What it does | Shows the schedule and appointments | Lets people book and see their visits |
| Price | Free | A separate module |
Common questions
Does the staff app need its own license?
No, it is free.
Does it work on older phones?
The app is small and does not need frequent updates, so it runs on older and inexpensive devices alike.
Can a specialist see other people's appointments?
It depends on permissions. By default, their own.
Does it work offline?
The data needs a connection, as any access to a shared schedule does.
