Escape room software for games booked by a whole team
An escape room is rarely booked by one person for themselves: usually a team captain signs up friends, family or a whole department, and for the length of the game the room belongs to them alone. After every team, the game host resets the locks, puts the clues back in place and checks the lighting. Escape room software has to keep a separate schedule for each room, remember the captain along with their game history, and never let two teams walk into the same storyline at once.
A team that booked an hour before the game
Sometimes a group is sitting in a nearby cafe and books the next free slot straight from a phone. A regular reminder that goes out a set time before the start should have been sent before that booking even existed, but the advanced settings let it be sent anyway when its moment has passed and the game is still ahead. With that option on, the captain still gets the address and directions to the entrance, and the game host does not end up waiting for a team wandering around the nearby side streets. Placeholders insert the room name and start time into the text, so one rule works for every storyline.
The first weeks of a new room
A new storyline needs to collect reviews fast, so its launch often comes with a promotion. The scope of a discount can be narrowed to one resource, meaning the new room itself, and instead of leaving it open-ended the discount gets a start date and an end date. The bonus is set as a percentage or a fixed amount. The promotion ends on its own on the chosen day, nobody has to remember to switch it off, and the older rooms keep selling at their regular price the whole time.
A broken lock and dead flashlights
Enthusiastic players yank at combination locks, lose keys and drain the batteries of UV flashlights. Spare locks, batteries and bulbs are kept in the product catalog, and every new batch is received with a document that records the purchase price. Each replacement after a game goes through as a write-off document, so by the end of the month it is clear how many props go on replacements and whether the most fragile puzzle needs a redesign. The catalog shows the amount on hand for a chosen day, so on Friday the administrator still has time to buy batteries before a weekend of back-to-back games.
A department that plays every month
A corporate team working its way through the rooms can hold one visit-based membership for all of its games. If the services field in the template is left empty, it applies to every room, and when the captain books a game online, the valid membership is applied to the booking automatically. A membership belongs to a specific client, usually whoever organizes the games, so only staff can pass it to another team; creating the template and issuing the membership is walked through in the membership setup article. People who want to give a game to friends are sold a certificate for an amount instead.
Escape rooms belong to the entertainment and leisure section, and if a virtual reality zone runs next to the rooms, it has its own overview as a VR arcade.
