A children's playroom in a mall or an entertainment center runs on two flows: parents leave a child to play while they shop, and on weekends the room hosts birthday parties with an entertainer. Kids play center software has to keep both flows in one calendar, remember the parents' contacts and account for everything sold on top of playtime.

An hour of play while the parents shop

The front desk enters the visit, and the client card keeps the parents' contacts and the visit history. Visit statistics show how often a family comes, so regulars are recognized from the first call. The child's name and age fit well in extra fields: you tie them to the client data, choose a format and decide whether the field is required, as the article on extra fields shows. Families who drop in every week can use a membership for an amount of time: its balance is counted in duration rather than in visits, so a short hour and a long evening are deducted differently. If the room takes a limited number of children at once, it is added as a resource with an occupancy mode above one, and the calendar shows when there are no free spots left.

A birthday with an entertainer

Entertainers are set up as resources with their own schedules, so it is clear who is free on Saturday afternoon before the talk with the parents even starts. If an entertainer gets sick, the party appointment is moved in the schedule to another entertainer who runs the same program, and the time stays the same. A separate party notification in the "for each change" mode fires when the parents move the time or add a cake. Placeholders put the birthday child's name from an extra field of the appointment into the text, and the branch can be one of the recipients. Before the party, parents can receive a survey that confirms the number of guests and their wishes for the program, and after it a short questionnaire about how it went. Reviews from the questionnaires are collected in a separate section, and staff can approve each review manually. A filter by client category lets you write to regular families differently than to those celebrating in the room for the first time.

Cake, juice and napkins for the party

Drinks and food for the party go into an order in the appointment and are written off the stock when the order is paid. The stock control report highlights juice or napkins that have dropped below the set minimum, and the cash history shows income from playtime, parties and sales separately.
