Entertainment venue software for selling time in a room, a lane or a track
The events and leisure category brings together photo studios, escape rooms, karting, VR spaces, bowling, paintball, children's rooms, saunas and excursions. Different as they are, most of them sell time in a space or on equipment rather than the work of one specialist, and that time is often booked by a group of friends, a family or coworkers rather than one person. Demand here is uneven: Friday evenings, weekends and school breaks fill up first, while weekday mornings often sit empty. Entertainment venue software has to show how busy each room, lane or track is and never let the same hour be sold twice.
That is why a room, a lane, a track or a single VR headset is added as a resource, just like an employee. The booking form only offers a client the time that is open on that particular resource's schedule, so a group will not show up at a track someone else has already taken.
Beyond that, the formats split noticeably. A photo studio is booked for an hour or two around a specific shoot, an escape room is played by one team per session, and an excursion gathers people who do not know each other for a single trip, which is why each format gets a separate page listing the modules chosen for it. For photo studios the focus is on client reminders, discounts, memberships and the cash register. Escape rooms add inventory and gift certificates to bookings and discounts. Bowling and paintball combine inventory, cash, discounts and memberships, saunas add online payments to inventory and cash, karting relies on the staff app, and a VR space on group events and inventory. Tour and excursion companies need group bookings with a participant limit, online payments and guide pay.
Children's rooms stand apart: their list of modules has no online booking, so the focus there is on inventory, cash, surveys and memberships. Visits are entered by the administrator, and after a party the parents can be sent a short survey. A party with entertainers is planned around their availability, which shows on the same calendar as the rooms.
It happens that several formats work under one roof, for example bowling, a VR zone and a children's room. They can be run as one company where each space has its own resource, and a guest who comes to the escape room for the first time after bowling already has a card with the history of earlier visits, so the guest list does not split into three separate notebooks. It makes sense to start with the page for your main format and compare the rest from there.
