Vaccinations, scheduled servicing, a repeat procedure - bringing a client back on their cycle rather than by mailshot

Some services have a natural repeat cycle: a vaccination once a year, a check-up every six months, a correction after four weeks. The client does not remember the cycle, which is why the return visit is service rather than marketing. Technically it is a Remind-after reminder: it is sent a set interval after the visit, and you set that interval to the service's cycle.

The most accurate way to find your interval is to look at the average gap between visits for your regulars. It is nearly always shorter than the figure you would name from memory.

How to set it up

1 Decide the cycle at the service level

Different services have different cycles, so the reminder is configured against a service rather than the whole company.

2 Create a Remind-after reminder

Set the interval to the cycle. It fires that long after the visit.

3 Write the text from the specific visit

"It has been a year since Rex's vaccination" works. "We have a discount on vaccinations" does not.

A message without one hands the work back to the client and to your front desk.

Why this beats acquisition

A client who has already been costs less than a new one: no advertising, no need to establish quality, no first visit with its higher no-show risk. The effect shows up in the retention report, in the share of clients who returned.

Common questions

Will it annoy the client?

One reminder per cycle does not. What annoys people is the same message every month regardless of when they last visited.

What if they have already booked?

Tie the reminder to the service, and check for an existing future booking before sending to a list.

Which channel?

The same one as for ordinary reminders: Telegram is cheaper, SMS always arrives.

Can I remind about a seasonal service by date instead?

Yes, but then it is a mailshot to a filtered list rather than a reminder, and it is received differently.
