Recording studio software for sessions that tie up a room, gear and an engineer

A recording studio does not sell hours in general. It sells hours in a specific room with a specific engineer, often with specific gear on top. Recording studio software has to see all three at once, so a vocalist and a rehearsing band never end up in the same control room at the same time.

A vocal session that needs both the booth and the engineer

A vocal tracking service can be tied to several resources at once: the engineer and the vocal booth. Free time for it is calculated from the busy hours of every resource involved, so an artist is never offered an hour when the booth has already been taken for a mixdown. The booth can be hidden from online booking so the client picks only the engineer, and the system finds a working combination of public and non-public resources by itself. A studio drum kit or a tube amp that sessions compete for goes in as a resource too, and its short description tells the client exactly what the booking includes.

A band that buys its hours as a package

A band working on an album is easier to serve with a membership for an amount of time than with one-off appointments. Each rehearsal or session deducts its own length, and when a band member books online while holding a valid membership for that service, it is applied automatically. If the template lists no services, the membership covers all of them, so one package works for tracking and mixing alike. Regular bands can get a discount on buying packages of hours, for example on every third purchase, and it is applied without anyone at the front desk stepping in.

A message for the artist and one for the engineer

A session reminder can go not only to the client but also to the resource, so the engineer hears about an early booking ahead of time as well. Service filters let you write one text before a mixing session, asking the artist to send their stems, and another before tracking, reminding everyone to tune their instruments before they arrive. Placeholder codes drop the service name, the engineer and the start time into the message. The fixed-time type sends the reminder at a chosen hour the day before, so a morning vocalist and an evening band both get it at the same reasonable time. How the timing of each reminder type is counted is explained in the article on reminder schedules.

Strings, cables and studio income by category

Next to its sessions, a studio often sells the small items a take cannot go on without: strings, drumsticks, cables. They are received into the warehouse with a receipt document that records the purchase cost, and a balance control rule signals that a set of strings needs restocking before a guitarist asks for one in the middle of a session.

Cash documents with their own categories keep the income apart, so the cash flow report shows studio hours, memberships and sales of strings and accessories on separate lines. That makes it clear whether the studio lives on one-off sessions or on packages for regular bands.
