Tennis club software for courts, coaches and groups by level
A tennis club runs three schedules at once: courts booked by pairs of players, coaches giving private lessons, and junior and adult groups. If the club also has squash, there are squash courts with their own rhythm of shorter games. Tennis club software has to pull all of this into one calendar that shows which court is free and which coach is busy.
An indoor court is priced differently from an outdoor one
Each court is added as a separate resource, and a single "Court play" service can carry different settings depending on the resource. In the service-to-resource assignment settings, the indoor court gets its own price and the squash court its own duration, so the service list does not fill up with a copy for every surface. A court with floodlights for evening play can be marked with its own price on the resource in the same way, without creating a new service for it. Payment for a game goes through the cash register, and the cash history splits by category how much the club earned on courts and how much on lessons and memberships.
A junior group moves up a level
Groups by skill level are run as events with a spot limit, and when a child outgrows their group, the administrator moves them to a stronger one in one click. Nobody retypes the season week by week: the administrator copies a stretch of the timetable forward, kids and all. When a group is full, the child goes on the waiting list. A weekend tournament can be set up as its own event with a cap on entries, and if you like, the form can show the list of players already entered, so everyone knows who they might meet in the draw.
An early game the player forgot about
A reminder set a fixed number of hours ahead would reach a player booked on a court at dawn in the middle of the night, so for early games a reminder at a fixed time of day the evening before works better. Notifications run separately: if the administrator moves a game because rain has hit the outdoor courts, or cancels it, the player gets a message about the change right away. It pays to ask regulars to connect the Telegram bot and keep SMS for those who have not. A second reminder a few hours before the game helps players who know which day they play but lose track of the time.
A membership for court hours
The player's card shows their memberships and visit statistics, so a coach knows how often someone actually gets out on court. For players who come every week, a membership for an amount of time works well, limited to court services so it cannot be used to pay for a lesson with a coach. Until a game has been played its duration sits in reserve, and both the player and the administrator see reserved and used hours separately. When the membership is close to running out, the client gets a reminder before the membership ends on the schedule you set.
