Parent-teacher conference scheduling software for private talks and whole-class meetings
A school brings parents together for a class meeting a few times a year, and in between, someone always wants a private word with the homeroom teacher or the math teacher. Parent-teacher conference scheduling software keeps those two formats apart: short one-on-one conferences, where each family picks its own time slot, and meetings of the whole class, where everyone comes at once. Both sit on one schedule, so a homeroom teacher is never booked for a conference with one family while the rest of the class is waiting in the auditorium.
A conference day after classes
Each teacher is set up as a resource, and their hours for parents on a specific date are entered as one-time working hours, which can then be cloned for the next conference day. A teacher can have several separate time ranges within one day, so a staff meeting in the middle of the afternoon simply never shows up as free time. Parents choose the teacher and the hour in the booking form on the school website or social media pages, and the services assigned to each resource decide who can be booked for which topic.
Sometimes a teacher is out sick or called in to cover a class. The conference is then canceled in the schedule, and parents get a cancellation notice right away, worded in advance by the school and sent through Telegram, email or SMS. The freed slot reopens in the form, and another family can take it without waiting for the next conference day.
The room where the teacher is waiting
Parents rarely remember which room the biology teacher sits in, and wandering the hallways between classes suits nobody. The room number goes into the description of the teacher's resource, and in the booking confirmation, placeholders put the teacher's name, that description, the date and the start time side by side. For the school counselor, a separate rule with a resource filter can add a line saying it is better to come without the child. A class meeting in the auditorium
A class meeting runs as an event with a date, the auditorium as a resource and a set number of seats, and parents sign up for that event in advance. The school announces the meeting with a bulk message: in the clients section it narrows the list to the right parents and sends them one message. Everyone registered gets a reminder the day before, and if the date shifts, participants are moved together instead of being called one by one.
What parents think of the format
After the meeting, a short survey shows whether there was enough time for questions, which topics belong on the next agenda and whether evening hours would suit parents better.
