Spa management software for gifts, courses and treatment room time
A spa sells time more than a single procedure: a massage, a body wrap or a long ritual ties up both a therapist and a room, and part of that time is paid for in advance or given as a gift. Among the other beauty industry formats, a spa stands out because gifts and courses take up a noticeable share of the work, so spa management software has to track them as carefully as the schedule. Each treatment room is added as its own resource, so two treatments never land in the same room at once. Time to clean the room between guests is blocked with a break in the schedule, and the online booking form will not offer that slot to guests.
A certificate for an amount, not for one ritual
A gift certificate for an amount is not tied to a treatment, so the recipient picks the ritual. An open certificate is not tied to a client, so when the recipient arrives, staff find it by its code, which is why the code is worth sending to the buyer electronically as well. If the ritual costs more than the face value, the certificate covers part of it and the guest pays the difference. A massage course counted in hours
A membership can be tracked in time rather than visits: the guest buys a block of hours and spends it on sessions of different lengths. The template sets which treatments the membership covers, only massage, a few chosen services or the whole menu. Every session in the course is tied to a specific appointment, so the remaining hours are easy to check together with the guest. Membership purchase discounts are set up separately from appointment discounts, and for long programs there is a discount type triggered by the total length of services in a booking.
Oil and scrub by the techmap
Each treatment gets a techmap with a standard amount of materials, which adds the oil, scrub or wrap product to an appointment when it is created. Stock goes down once the appointment is saved as paid.
A therapist's break
During a break, a therapist opens the staff mobile app, checks the next appointment and the guest's card without walking out to the front desk. The app can go on a personal phone. The therapist sees their own appointments there, so the app lays out exactly the working day ahead of them.
