Kids' club management software for classes that parents sign their children up for
In a kids' club, the client and the participant are different people: a mom or dad books, pays and gets the messages, while the child is the one who shows up to class. Kids' club management software has to keep those roles side by side, so the client record belongs to the parent, and the child's name, age or group is stored in custom fields the club sets up for itself.
A first class in a new group
Each group runs as an event with a date, one resource (a coach or a room) and a seat limit, and parents sign their child up for the next class of the right age group. When every seat in a group is taken, the child goes on the waiting list, and when someone drops out, the freed seat is offered to whoever is first in line. Every participant of an event can have their own price and way of paying, so a newcomer at a trial class and a regular student train in the same group on different terms.
A membership the parents are responsible for
For kids who come regularly, the club sells an unlimited membership for the month, and for those who come once a week, a package of visits that is deducted when attendance is marked. Right after the purchase, parents get a confirmation with the terms and the number of classes left, which settles the question of how many sessions remain before it turns into an argument.
When a membership is about to run out, the reminder goes to the same parent who bought it and does not get lost on a child's phone. If the club also runs classes for adults, a filter by template limits that reminder to children's memberships, so adult clients never receive a message written for parents.
A coach who runs several groups
Coaches at kids' clubs are often paid per group they teach rather than per hour spent in the gym. Payroll has a separate rule type for that, which pays for group classes and events, and a guaranteed minimum covers the month when some groups were canceled for school breaks. How full each group is and when the rooms are free
A club owner needs to see how full each group is, not just the total number of kids enrolled: the younger gymnastics group may be packed while the older one in the same sport barely reaches half. When groups run as events, the roster and the number of sign-ups are visible on the schedule, and a decision to merge two groups or open a new one rests on real numbers.
Rooms and studios are resources too, so planning who uses which room stops being a sheet taped to the coaches' room door. The client card collects visit statistics, so before a new season it is clear whose child came regularly, who skipped for weeks at a time and which parents to call first.
