Dance school software for classes split by style and level
A dance school runs on intakes and seasons: beginner groups open in the fall, salsa and hip-hop take turns in the same studio, and an engaged couple asks for a few private lessons before the wedding. Dance school software has to keep all of those formats apart, so no studio and no instructor is booked in two places at the same time.
Enrolling a beginner group
Every group class is set up as an event with a date, a studio, an instructor and a seat limit that matches the real size of the room rather than a hopeful one. A newcomer in the booking form sees upcoming classes in their style, not free hours. Dance schools tend to do well with the combination the guide to group classes and courses recommends: a monthly membership for students who already attend and a waiting list for the trial lesson for new ones. When someone drops out of a trial, the freed seat goes to the next person in line.
A wedding couple between evening groups
A private lesson is booked as a regular individual appointment and a group as an event, yet in both cases the instructor is the same resource. So the couple cannot be placed in the hour when that instructor is already teaching intermediate bachata, and the administrator sees which part of the evening is still open. Instructors check their day in the free app for Android or iOS and see which slot is a group and which is a couple. After the lesson they add a note to the client card about the combination they worked on, so the next session picks up where this one ended.
Making up a class with a parallel group
A student misses Tuesday salsa because of work and wants to come to the parallel Thursday group at the same level. The administrator moves them from one event to the other in one click, and the Tuesday seat opens up for someone else. The monthly membership covers the makeup class too, because it applies to the services chosen in its template rather than to a specific weekday.
Which groups and instructors carry the school
Resource statistics for a chosen period show, for each instructor and each studio, working and active hours, idle hours, occupancy and profit. They reveal that the big studio sits empty on weekday mornings while intermediate bachata fills up every week. The financial results report adds how much each instructor brought in over the month.
For the cash flow report to answer an owner's questions, each cash document gets its own category: membership sales in one, drop-in and private lessons in another, studio rent and instructor payouts in their own. Then it is clear how much income comes from groups and how much from private lessons, and a decision to open one more evening group rests on figures rather than on the impression of a full room.
