Language school software for level-based groups and a conversation club
Every term, a language school sorts new students by level, runs parallel groups in several classrooms and takes private lessons on top of that. Some students arrive with a level already, others start from scratch, and both have to land in the right class from day one. Language school software has to keep all of these flows in one schedule, so each student ends up in a group that matches their level and no teacher is booked for two classes at once.
A placement test before the first lesson
The test is set up as a separate service booked as an individual appointment with a teacher, so a new student picks a convenient time in the online booking form, even when they write in the evening or on a weekend. After the test, the administrator adds them to the group event for the right level instead of hunting for a seat across several spreadsheets. If the group has already reached its limit, the system will not let an extra student into a full classroom.
A semester course as a series of classes
A regular course is not created one lesson at a time: the event plan is built from the school's schedule for a period ahead, and when a teacher is out sick, the group is moved with a single group operation. Course tuition is easiest to handle as a membership counted in visits. A student who is still unsure after the placement test can start with a trial membership for a few lessons, and the semester one is sold once they settle in with the group. When a student with a valid membership books online a service covered by its template, the membership is applied automatically, and the administrator no longer counts how many lessons are left. A conversation club open to every level
A conversation club is usually open to students from different groups and to people who are not enrolled at the school. It works best as a separate event service with its own seat limit. Then the club can be left out of the course membership template, so it is never deducted from a pack of group lessons, while drop-in guests show up in the same participant list. For students whose program includes the club, a separate template covers both services.
Teachers, classrooms and course renewals
A group event can be tied to a classroom or to a teacher, depending on what the school runs short of more often: free rooms or teaching hours. A teacher who only runs corporate groups can be hidden from online booking with the visibility setting for external services and still stay on the schedule for internal records. Each teacher sees their groups and private lessons in the free mobile app for Android or iOS, so a classroom change reaches them right away rather than through a message from the administrator.
The end of a term is when students decide whether to keep studying.
