Event planning software for private celebrations and public events alike

An agency that plans weddings, corporate parties or children's birthdays usually runs public events as well: workshops, talks, tastings. In the first case all the work revolves around one customer, in the second dozens of strangers take the seats. Event planning software has to keep both formats on one schedule where the team, the venues and the equipment are all visible.

The first meeting with a customer

A couple or an office manager looking for an organizer often does it in the evening or on a weekend, when the agency no longer answers the phone. A booking form on the agency's site or its social pages takes a meeting request at any hour and offers only the times when a manager is actually working. A wedding planning session and a short consultation about a corporate party are easiest to set up as separate services with their own length, so a long first conversation does not eat into the time set aside for the next client.

A venue that cannot be sold twice

A banquet hall, a projector or a sound system is added as a resource, just like a person. For the hall you choose the occupancy mode in which a service takes the whole resource, and then no other appointment can land there on the evening of the banquet. A workshop with guest registration

A public event is created with a date, a length, a resource and a number of seats, and guests register through a dedicated form showing upcoming events rather than open time slots. One person can register themselves and their friends at once, because the limit counts seats. Reminders matter more here: a guest who never shows up was holding a seat someone else wanted. What the season earned, not just what came in

Money for a fall wedding often reaches the register in the summer. The profit and loss report counts income by the date the service was provided rather than the date of payment, so what was paid in July for a September event lands in September. For early registration to a workshop, a discount with a limited validity period works well: the start and end dates are set to the hour, and after that moment the price goes back to normal on its own. The discount scope can be limited to selected services, so an offer for public events does not touch banquets and weddings.
