Fitness studio management software across a membership season
A fitness studio does not earn its money on a single workout but on how many months in a row a client keeps renewing. That is why fitness studio management software has to see a member's whole history: when they bought the membership, how many sessions are left, whether they come to group classes and how often they skip. Group classes, personal training and front-desk sales run side by side in such a studio, and each leaves a trace on the same client card.
A client leaves on vacation in the middle of a membership
Someone buys a monthly membership and a week later says they are going away on vacation. Instead of an argument about compensation, the membership is frozen, either by the administrator in the membership details or by the client, if you allow it. The studio sets its rules ahead of time: how many freezes are allowed over the whole term, the shortest and the longest pause in days, and appointments that fall inside the freeze period move to a status you choose automatically. A freeze and unfreeze notification tells the client the date from which the membership is active again. The action history shows who froze it and when, so a moved end date is easy to explain. Only a few sessions left on the membership
For session packs, a balance change notification goes out as soon as the remaining balance crosses a threshold you set, so the client finds out before the last workout rather than at the front desk. Visit statistics in the client card show how often a person trains, so the front desk notices attendance dropping before the membership ends and has time to talk to the client before they drift away. For an unlimited monthly membership the balance threshold does not apply, and a scheduled reminder before the end date is the better fit there. If you order the channels as Telegram, email and then SMS, a paid text message only goes to the people the first two could not reach.
A trainer calls in sick on the day of the morning class
A trainer's group class and personal sessions share one resource, which rules out booking them for the same hour. When a trainer is sick, the administrator moves the participants to another event in one group operation instead of calling each of them. The group schedule for the next period is not rebuilt by hand every time: a week that is already filled in is copied together with its participants, starting from a date you choose. Reminders matter more for group classes than for personal training, because someone who forgot and did not show up was holding a spot another person wanted.
Closing out the front desk in the evening
During the day the front desk sells memberships for cash and through the card terminal, and drop-in sessions are paid on the spot.
