Accounting firm scheduling software that keeps consultations and on-site audits on one calendar

An accounting or audit firm sells its specialists' time, but that time comes in very different shapes: a short consultation at the office, a reporting meeting with a long-standing client, several days an auditor spends at the client's premises. Some clients come in every month for ongoing bookkeeping, others only once a year before filing a tax return, and each of them has to reach the specialist who handles their particular matter. Accounting firm scheduling software has to show all of this in one place, so nobody books a consultation with an auditor who is sitting in someone else's office.

An auditor spends several days on site

A service has a default length in its settings, but any single appointment can be given a different one, so an on-site audit is put in for the whole working day simply by stretching the appointment on the schedule. Each day of the audit gets its own appointment, and while the auditor is at the client's, online booking does not offer their hours. If the client asks to push the audit back, the appointments are dragged to the new dates instead of being entered again. A short consultation that same week goes to a colleague, and the form shows the client only the accountants who are actually free.

Consultations booked by someone who never means to become a client

Now and then a senior accountant's hours get taken by people who want no service at all, only a look at how another firm works or a competitor's calendar filled up. Restrictions on visiting the same employee and on booking the same service keep one person from signing up for a first consultation over and over.

A questionnaire before the first meeting

Before the first meeting the client fills in a questionnaire: how their business is set up, which documents they will bring and what the question is about. The accountant opens the answers ahead of the meeting and prepares, instead of spending the first minutes of the consultation working it out. If someone abandons the questionnaire halfway, their partial answers are still visible, and the front desk can fill in the rest by phone.

A bonus after the busy season and the money in each account

After a demanding reporting period, a bonus is assigned to an employee on a specified day, separately from the regular payroll run. Monthly bookkeeping for regular clients and one-off consultations go through the register under different categories, so the cash flow report for a quarter, broken down by month, shows which part of the income repeats every month and which part follows the season. The financial position report then shows the partner, separately for the cash register and for the bank account, the balance each started the period with, how much came in and how much went out.
