VR arcade software for separate stations and a shared arena
At a VR arcade, a guest pays for time in a headset: a teenager takes the station with a racing wheel, a couple plays a horror game together, and a group of friends heads to the arena in the evening for a team battle. After every player, the headset is wiped down and put on charge, so a station cannot take the next session back to back, and those minutes belong in the service duration from the start. VR arcade software has to keep the stations and the arena in one schedule, along with both online bookings and people who walked in off the street.
A guest at the counter with no booking
Some players come in after seeing the sign, and the administrator adds them to the schedule directly, next to those who booked online. Each station is its own resource, so free equipment is visible at a glance, and sessions of different lengths are separate services with their own prices. Later, the appointment source report shows what share of bookings and of revenue comes from the online form and what share from walk-ins, and whether the link to the form deserves wider promotion.
A scheduled team battle
An arena battle uses the "Events and group booking" service type: the arcade puts it on chosen evenings in advance, and players sign up for the event rather than a free hour. During the day, the same arena is booked for individual sessions, and since events and regular bookings occupy one resource, the system does not let them overlap. After the battle, the administrator does not go down the list one player at a time: a group operation on the event's participants marks the whole team as present at once. How to lay out an event schedule in advance without overbooking the arena is covered in the guide to group events and courses.
A weekly league
Regulars who show up for the weekly league buy a membership for a number of sessions. It is deducted automatically when the administrator marks attendance at the event, so there are no arguments about a missed week. The validity period in the template can match one league season, and the services field can list only the arena battle, so the membership is never used to pay for solo sessions at the stations. A player's card holds their memberships and visit history, so a new administrator can see at once who has been in the league for a long time.
What each station brings in
The financial results report breaks income and payouts down by cash document category for each resource, so it shows how much the arena brought in over a month and how much each station earned on its own. Cash documents are automatic or manual: a session payment is recorded by itself, while buying wipes or cables for the headsets goes through a manual document with an expense category, so the cash flow report needs no side spreadsheet to be complete. These reports are described in the overview of the reports in the system.
Drinks and small accessories the arcade sells are kept in the warehouse with receiving documents and inventory counts. A VR arcade is part of the entertainment section, and if you also run puzzle rooms next door, see the escape room overview.
