A call center works in waves: more requests come in during the morning and toward evening, fewer at midday, and some conversations are booked by clients for a specific hour in advance. Call center scheduling software has to show which agents are on the line right now and who has a free window for the next scheduled call, so the supervisor is not piecing that together from several spreadsheets.
A shift split into two parts
In the system an agent is a resource with their own working hours. A recurring week is the base, and one-time hours for specific dates are layered on top of it and can be cloned to other days. A single day can hold several separate intervals, so a shift that covers both the morning and the evening peak does not need two different people on the schedule. A lunch break is added straight from the scheduler screen, and nobody can book that time. Vacation or sick days should also be closed in the schedule right away, or the form will keep offering hours for an agent who will not be there. The client picks when to be called back
A client books a consultation or a callback through a booking form placed on the website or in social profiles, and the form only offers times when agents are actually working. If it does not matter who answers, the line itself is set up as a separate resource that accepts several appointments at once, and its occupancy mode sets how many conversations can run in parallel. A resource used only for internal accounting can be hidden from online booking. The service length decides how much time a conversation takes on the schedule, so a quick inquiry and a long consultation do not overlap. A package of consultations for a regular customer
When a call center sells paid consultations, it is more convenient for a regular client to buy a membership covering a set number of visits or an amount of money. The template sets which services it covers, and if the client has a valid membership for the service, it is applied to the appointment automatically. The validity period is also set in the template, so every package has a clear end date. A discount, in turn, can be tied to a client category, for example a separate one for corporate customers, or to the length of the conversation itself, so a longer consultation triggers its discount on its own.
Which agents are overloaded
Resource statistics for a chosen period show how many hours each agent spent on appointments, how long they sat idle, their occupancy and the revenue they brought in. That makes it clear whose shifts stand empty and who keeps covering other people's peaks. When the quiet hour has as many people on the line as the busiest one, the idle hours make it obvious. Payments for consultations go through cash registers with a transaction history, so the day's income is checked without a separate log.
