Personal trainer software for coaches who handle clients and money alone
A personal trainer often works with no front desk: they book clients, take payments and track how many sessions each person has left. Personal trainer software has to pull all of that into one calendar, where every session shows whether it is paid and which package it came out of. Clients pick open hours in the booking form themselves, so the long back-and-forth about a convenient time shrinks to a single link.
Package after package
Clients usually buy a package rather than a single session, and a regular client may buy them one after another. In the system a package is a membership for a number of visits: each completed session is deducted from it, and the appointment details show exactly which package it came from. Until it is paid in full a membership does not apply to appointments, so no session comes out of a package nobody has paid for yet. A notification on the purchase trigger fires on the purchase you pick by number: after the first one it can send the terms, and on every fifth package it can thank the client with a message of its own. A client who drifted off the schedule
Personal training depends on regularity, and a client who skips a week can quietly disappear. A reminder of the "after appointment" type fires a chosen interval after the session, so the interval can match the client's usual rhythm and the message can carry a booking link. That message is tied to their own last visit rather than to a promotion, so it does not read as advertising. When a client cancels on their own, the cancellation notification can reach the trainer too, because the rule's recipients can include a resource, and the trainer can still offer the freed slot to someone else.
A no-show the trainer pays for
When a trainer rents gym space by the hour, every missed session costs them money. For new clients payment can be made mandatory, so an appointment still unpaid when the deadline passes moves to Cancelled on its own, while regulars keep optional payment. For an ordinary session a deposit covering part of the price is enough; full payment suits a slot you could not fill again at short notice. If a session was agreed in a messenger, the trainer sends a payment link or shows a generated QR code.
Who has paid ahead and how much
Some clients pay cash at the gym, some by transfer, and some put money down for several weeks ahead. For them the client balance is handy, since sessions are paid from it. When a client cancels, the payment can go back to the balance automatically at a percentage the trainer sets, so the refund terms for a canceled session work without manual math or awkward conversations. If you allow it, the client sees their current balance and transaction history in the booking form. At month end the cash register reports show cash, the card terminal and online payments separately, and the trainer sees the full income picture rather than just the transfers.
