Class booking software that retires the sign-up sheet
Wlaunch class booking software is built around events rather than loose free hours. Every class, training session or course meeting has its own date, duration, resource and number of spots, so clients see a list of upcoming events in the form and pick the one that suits them. Once the spots run out, nobody can book past the limit, and the instructor never has to explain at the door that the room is already full.
You do not have to retype the season's timetable every week. Events are cloned for a chosen period together with the clients already booked on them, so a steady group rolls over to next week without a single follow-up call. Cloning runs in chronological order, which means that if one date hits an error, the process can be resumed from exactly that date. When someone wants a different day, the administrator moves them to another event in a single click, while group operations take care of the whole class at once.
When a class fills up, the people who still want in go onto a waiting list. Payment terms within one group do not have to match: a client on a trial visit can train next to someone who pays monthly. Regular groups are usually sold as packages, and memberships for a set number of classes are deducted from attendance automatically, while the choice made in a booking on whether to apply a membership is kept when the event is updated later.
This setup is typical of studios whose whole schedule revolves around groups, such as yoga studios and group practices. On the home page of the booking form, clients see their next group and individual visit together in one block, and in their personal account they can open the event description in the appointment details. A separate guide explains why group classes in particular benefit from reminders ahead of the visit: an empty spot could have gone to someone on the waiting list.
What studios check before moving classes onto events
Can one instructor run both groups and one-on-one sessions?
Yes. An event occupies the same resource as an individual appointment, so the system will not let you schedule a private session in parallel with that instructor's group class, or put two events in the same room at the same time.
Can one client take several spots, say for themselves and their child?
They can, if the event allows more than one spot per booking. The price and the membership deduction are then multiplied by the number of spots taken. A separate blocking rule sets a ceiling on spots per client for any given class.
Can clients see how many spots are left?
That is up to you. The form can show the number of available or occupied spots, and even the participant list if your community likes to know who is coming.
How far ahead can I copy the class schedule?
Events are cloned together with the clients already booked for a period of up to 31 days, starting from a date you choose, such as next Monday. Individual appointments are cloned separately for up to 90 days, and appointments that belong to an event are never cloned apart from it. A resource manager can also clone single events and appointments one at a time.
