Sports club management software with coaches, rooms and groups on one schedule
The sports industry covers very different formats: fitness studios, dance schools, yoga studios, trampoline parks, tennis and padel courts, swimming pools, equipment rental and private coaches. Each has its own rhythm, but the core is the same: coaches, rooms and pool lanes have limited time, group classes run alongside one-on-one sessions, and regulars usually pay with a membership. Sports club management software has to hold all of that together, so the schedule, attendance and coach pay are not split across three different spreadsheets.
In the system a group class is its own event, tied to a resource, with a set date, length and number of seats, and the limit should be the real one rather than the one you wish you had, since it decides when the group counts as full. Regular classes are planned ahead on the schedule instead of one at a time: events are cloned into a new period together with the participants already signed up, clients are moved between events, and when needed a whole group is moved in one operation. A full group keeps a waiting list, so when someone drops out, their spot is offered to those in line rather than left empty.
Memberships in sports can be unlimited for a period, based on a number of sessions, on time or on an amount. The membership template sets which services it covers, so a pack of pool sessions is not used up by a workout in the gym if the club sells them separately. When a client is injured or away at a training camp, the membership is frozen, and the club's own rules can limit how many freezes are allowed and how long they last. Separate cash registers are handy for cash at the front desk and for the card terminal, and the cash history shows a timeline of transactions for each account, so an end-of-day discrepancy is traced in one place.
Coach pay in sports is usually made up of several parts. For group events there is a rule where the payout depends on the number of participants, for personal training a fixed amount or a percentage per session works, and a separate rule adds a bonus for membership sales. A new coach whose groups have not filled up yet can have a guaranteed minimum that tops up the difference to the agreed amount. A floor instructor who runs no groups of their own fits a plain fixed rate per hour or per day. The calendar shows the workload of support staff and rooms as well as coaches, so the administrator plans the day from one screen. The financial results report shows the owner what each coach brought in.
