Sauna management software for groups that book a whole evening
People rarely go to a sauna alone: friends, coworkers or a family take over the steam room, the plunge pool and the lounge for several hours. Sauna management software has to keep these sessions in the schedule without overlaps, take money from several people for one evening and keep count of birch whisks, tea and towels.
A Finnish sauna and a hammam under one roof
Each steam room is its own resource in the system, with a list of the programs available in that room only, so a guest cannot book a bathing ritual where it is not offered. The resource's short description is the place to say how many guests the room holds and what the lounge area includes, since guests see it while still choosing. A session is set up as an individual appointment with the duration and price from the service settings. If a group arranges to stay longer, the duration and price are changed in that appointment only, without touching the price list.
An evening that cannot be resold
A late cancellation leaves the sauna empty for the whole evening, so for long evening sessions the online payment rule can require the full amount. For shorter daytime visits payment is made optional: the guest pays right away or later, using the link in their personal account. Everyone pays their own share
When a group settles up on site, the employee enters several payments on one appointment, one per guest, and picks a cash register for each: cash or card terminal. All payment transactions linked to the appointment are visible inside it, so the question of who has not paid yet gets an answer right away. If the evening is canceled, the guest gets a refund from whichever cash register the staff chooses. Every way to accept money is gathered in the article on payments.
A whisk for sale and slippers included in the session
A birch whisk or a pot of herbal tea adds to the bill, so they go into an order in the appointment. Disposable slippers and caps that are part of the session price are entered on the consumables tab. Both are written off the stock when the appointment or the order is saved as paid. The sauna sits in the directory of leisure venues alongside bowling, escape rooms and paintball.
