How to take sets in, not lose them, and bring the client back for the seasonal change

Tyre storage is not a separate module. It is three things the system already has, working together: a storage service with an end date, a client record noting what is stored and where, and a reminder that brings the person back for the seasonal change. After that it rests on one rule: a set with no note of its location is lost before you have even put it away.

Why a tyre shop wants it

Storage earns little by itself. What it earns is different:

  • The client comes back twice a year automatically. Their tyres are with you, so "where shall I go" is not a question.
  • The seasonal peak becomes predictable. In March you know how many sets you are handing back in October.
  • A one-off client becomes a regular. It is the cheapest retention in the trade.

What to record on intake

The minimum, without which storage becomes a problem:

How to assemble it

1 Set storage up as a service with a term

The season is paid up front, so this is a sale in advance rather than a debt. For longer terms a membership is convenient: it has a validity period and is deducted by rules you set.

2 Record the set's details on the client record

Location, size, quantity and condition. The client record is the one place this will not be lost between seasons.

3 Set two reminders

  • Two to three weeks before the season, to book the change while the calendar is still open.
  • A month before the storage term ends, to renew or collect.

The second matters more than it looks: it turns overdue storage into paid renewal.

4 Agree what happens to overdue sets

Write it into your terms before you accept the first set: how long you hold them after the term, whether paid extension applies, what happens next. Without it every case is decided individually and always against you.

The seasonal peak

Autumn and spring produce a queue not because there are many clients but because they all arrive in one week. That is levelled by the schedule and by reminders sent in waves: part of the list three weeks before the peak, part two.

Online booking matters more here than in any other season: at the peak the front desk physically cannot answer the phone.

Enough to cover the space and the handling. But the real profit here is not the storage, it is the two guaranteed visits a year.

Whatever your terms say. The point is that they say something.

Can a set be tied to the vehicle rather than the client?

Record the make and registration in the details: when a car is sold, "whose tyres are these" comes up more often than you would expect.
