Taking bookings from Instagram
How to accept appointments from your profile, Direct and Stories without copying them into the calendar by hand
You do not need a separate website to take bookings from Instagram. Take the link to your online booking form from the Booking sources section, put it in your profile header, repeat it in Stories and a pinned post, and point a Direct quick reply at the same link. From there the client picks a time themselves and the appointment appears in your calendar straight away.
Why Direct does not work as a calendar
A Direct thread feels convenient while there are few bookings. After that the losses start:
- messages arrive at night and get answered in the morning, by which time the client has booked elsewhere
- free slots have to be dictated by hand, and two administrators can promise the same hour
- the appointment exists only inside a chat, so nobody sends a reminder
- the booking source is never recorded, so you do not know how many clients Instagram actually brings
An online booking form removes all four at once: it shows only genuinely free time, closes a taken slot itself, and creates the appointment in the system immediately.
Four entry points in a profile

The minimum worth doing is the profile header plus the Direct quick reply. The rest can follow later.
How to set it up
1 Create a separate booking source
In the Booking sources section create a source for Instagram. The system shows how the link is assembled from your source and generates a convenient link along with a QR code.
The separate source is not decorative. Without it every booking from social media, the website and printed cards merges into one pile, and the question "how much does Instagram bring us" stays unanswered.
2 Put the link in the profile header
Instagram allows several links. If a website link is already there, put the booking link first and label it with a verb: "Book now", not "Our website".
3 Set up a Direct quick reply
A business profile has saved quick replies. Create one for the most common question about free time and put the same link in it. That is the reply the administrator sends when there is no time to type out a schedule by hand.
4 Check what lands on the appointment
Create a test booking through that link and open its details. The source should be visible there, with UTM tags underneath it. If you run ads, parameters such as gclid are captured automatically.
If there is no website at all
The online booking form can be used as a full website in its own right: it shows services, prices, a company description, an address with a map, links to social media and the terms of service. For an Instagram profile that is usually enough, and a separate site can be skipped entirely.
What to add after launch
Once bookings start arriving, two loose ends remain:
- Reminders. A client from Instagram often books a week ahead and forgets. A reminder over Telegram, SMS or email is sent automatically.
- Payment or a prepayment. If no-shows become a problem, switch on online payment for the appointment. When payment is mandatory and the client does not pay in time, the system moves the appointment to Cancelled and frees the slot.

Do I need an Instagram business profile?
Not for the header link. Yes for Direct quick replies and the link sticker in Stories, which are business-profile tools.
Can I tell Instagram bookings apart from website bookings?
Yes, that is what the separate booking source is for. The source is visible on every appointment and in the reports.
A client wrote in Direct instead of using the link. What now?
Send them the same link as a quick reply. If the client insists on chatting, the administrator creates the appointment manually and sets the same source, so the statistics stay honest.
Does this work for Facebook and TikTok?
Yes, the mechanism is identical. Create a separate booking source for each network so you can see what each one returns.
