Fiscal receipts for a service business in Ukraine
How to issue a fiscal receipt for a service, which providers are integrated, and what to configure in the system
A software cash register is exactly that: a till that runs on a phone, tablet or computer instead of a separate piece of hardware. For a service business it is the more practical option, because it works with electronic receipts, several cashiers and online payment. In Wlaunch, fiscalisation is connected through your payment provider rather than separately.
This article describes the Ukrainian fiscalisation model and the operators that serve Ukraine. Other markets have their own rules and none of the providers named below operate there.
Beyond that, it covers how fiscalisation works technically and what to configure. Whether your company needs it at all, at what turnover and under which tax regime, is a question for your accountant: it depends on your activity and the rules in force, not on any setting in the software.
Hardware till or software till
| Hardware till | Software till | |
|---|---|---|
| What it is | A separate device | An application on a phone, tablet or PC |
| Upfront cost | Buying and registering the device | No hardware |
| Several cashiers | A device each | Several cashiers on one account |
| Electronic receipts | Limited | The primary format |
| Online payment | An awkward pairing | Fiscalised together with the payment |
For a salon, studio or workshop where payment often goes by card or online, the software till is nearly always the more practical one.
Who fiscalisation is connected through
In Wlaunch, fiscalisation travels with the payment provider. Each has its own connection guide:
| Provider | What is needed |
|---|---|
| Wayforpay | Fiscalisation connected on the provider's side, per their guide |
| Liqpay | The cash register service in the Liqpay account |
| Fondy | Fiscalisation connected on Fondy's side |
| Check by mono | Checkbox or Vchasno registered separately, then fiscalisation activated in the Mono account |
The last one differs: there the fiscal service and the payment service are two different companies, and you register with both.
The order of connection
1 Choose a payment provider
This decision is made once and determines who handles both the payment and the fiscalisation. Comparing providers is its own subject.
2 Register with the provider and connect fiscalisation on their side
Registering the till with the tax authority, adding cashiers and handling keys all happen in the provider's or the fiscal service's account, following their instructions. Wlaunch plays no part in this step.
3 Connect the provider to Wlaunch
After this, paying for an appointment and issuing the receipt become one action instead of two.
4 Make a test payment
Run one small real payment and confirm the receipt reached the client. That is the only way to check the chain works end to end rather than halfway.
What gets fiscalised and what does not
Not every movement of money in the system is a settlement operation. Keep these apart:
- Payment for an appointment is settlement for a service delivered.
- Selling a membership or certificate takes money now for a service delivered later, and has its own treatment.
- Topping up a client balance is also money taken in advance.
- Deducting from a balance or membership at the appointment is a payment that already happened earlier.
These cases are not equivalent for accounting. What to fiscalise, and when, is a question for your accountant and for your fiscal service's own rules.
Cash does not go away
A software till does not abolish cash: if a client pays in cash, a receipt is still due. In the system, cash and card operations are both run through cash registers, and that is where the day's picture comes together.
Common questions
Can I connect a fiscal service without online payment?
The fiscal service is registered separately and works on its own. But the point of the pairing is that payment and receipt become one action.
Do I need a separate device?
No, that is exactly what separates a software till from a hardware one.
How many cashiers can I have?
Your fiscal service decides that, not Wlaunch. Several cashiers on one account is a standard capability.
What happens if the internet drops?
Offline behavior is defined by the fiscal service. It is one of the questions worth settling before choosing a provider rather than after.
