Discounts on bookings

Set up automatic booking discounts: seven calculation types, multi-tier rules, day and hour limits, client cards and manual discounts.

What discounts are in Wlaunch

A discount is a rule by which the system itself reduces the amount of a booking when the client meets the conditions you set. The administrator does not have to remember who is owed what: Wlaunch checks the conditions at the moment of processing and applies the discount automatically.

The "Discounts" section in the side menu has three entries:

  • Records - discounts on visits and services, the subject of this article (the page is titled "Appointment promotions");
  • Memberships - discounts on buying and renewing memberships;
  • Cards - client cards a discount can be tied to.

Before you start

Access to the section is governed by the "Promotions. Records" permission, separately for viewing and for creating. If the entry has not appeared, check your user's rights.

Discounts are always created at company level - there is no separate list of discounts inside a branch. In a company with several branches the form gains two more fields: Currency (used for monetary thresholds and fixed discounts) and Branches.

Scope

The following fields narrow down the bookings a discount applies to:

  • Services
  • Resources
  • Appointment Sources
  • Client categories

In a company with several branches Branches is added to them.

The key rule: an empty list means "no restriction". A discount with no service selected applies to all services, not to none.

Appointment Sources is what makes the simplest advertising mechanic work: create a dedicated source for the campaign, tie a discount to it, and it applies only to people who arrived through your link.

Validity period

The Perpetual toggle decides whether the discount is limited in time. Turn it off and the Start Date and End Date fields appear, precise to the hour.

Rules: condition and reward

The heart of a discount is the List of rules block. It consists of two selectors and a table of rows:

  • Calculation type - which metric the condition is measured on;
  • Bonus type - Percentage (up to 100%) or Fixed (an amount in the discount currency);
  • rule rows, each with Terms of participation in the promo action (the threshold) and Reward for participation in the promo action (the size of the discount).

The Add rule button creates another row, so one discount can be multi-tier: the higher the threshold, the bigger the discount. Thresholds must differ, otherwise the system flags a duplicate.

Calculation types

Below the rules table Wlaunch shows an explanation of the selected type. Here are all seven:

Two details that are easy to miss:

  • The Fixed type has no threshold at all. The condition field is disabled and you cannot add a second rule row - such a discount always has exactly one reward.
  • The types that look at the client's past (Total visits, Number of visit, Each visit) count bookings in statuses that take time, while Total money counts bookings in statuses that are profitable. Your status configuration therefore directly affects when a discount fires.

For the types that look into a client's history, a toggle appears below the rules: "When calculating the conditions for participation in the promotion, take into account all company records". It is on by default.

Turn it off and the "Take into account records only" block opens, where the history can be narrowed:

  • With services;
  • With resources;
  • From sources.

Two more restrictions appear conditionally: For the campaign period only for a time-limited discount (it makes no sense for a perpetual one), and In branches only in a company with several branches.

This lets you count loyalty per line of business: "every fifth manicure", where only bookings for manicure services enter the statistics.

Day and hour limits

The "Limit hours/days of promotion" toggle opens the schedule. First choose the type of restriction by days:

  • Repeats on selected days of the week - for recurring discounts such as "every Tuesday";
  • Held on selected dates - for specific dates.

You can additionally set some hours, and then the discount only applies within the given parts of the day. This is how a classic happy hour is built.

Manual discounts

The "Do not apply automatically" toggle makes a discount available only through an administrator's action. The discount is not applied on its own - it has to be chosen deliberately in the booking.

This is the main tool for non-public special offers: the discount is standardised and calculated by the system, but it can only be used on request or during a call.

Client cards

The "Cards" menu entry describes the company's client card types. A card type has:

  • a Name;
  • Auto produce - whether the card is issued to clients automatically;
  • a Description.

In a company with several branches two more fields are added: Accept only in branches - where the card is valid, and Produce only in branches - where it is issued automatically. In both cases an empty list means "in all of them".

After that it is enough to turn on "Provided only to cardholders" in a discount and pick the type, and the discount will apply only to clients who hold the card. Cards themselves are issued and viewed in the client details.

So that staff do not forget about discounts, the booking details carry an "Available promotions" panel. It shows the offers a client qualifies for, the condition, the reward and the current client achievement - that is, how close they are to the threshold.

That is a convenient conversation opener: "one more booking and you reach a 20% discount". The "Refresh promotions" button recalculates the list if the contents of the booking have changed.

Example: a cumulative discount

Let us build a discount that grows with the number of visits.

  1. Calculation type - Total visits.
  2. Bonus type - Percentage.
  3. Rules: 10 bookings -> 5%, 25 bookings -> 10%, 50 bookings -> 15%.
  4. Period - Perpetual.
  5. Leave the scope empty so the discount applies to all services.

Example: a discount for quiet hours

  1. Calculation type - Fixed, Bonus type - Percentage, reward 20%.
  2. Turn on "Limit hours/days of promotion".
  3. Restriction type - Repeats on selected days of the week, pick the weekdays.
  4. Add some hours - from 10:00 to 13:00, for example.
