System Access

How to invite an employee or other user to the administrative part

To invite a new user to the Wlaunch system, you need to have company management permissions. The invitation is sent from the "System Access -> Users" section.

You can invite a user by email or phone number.

Important: when inviting by email, the part of the address before the "@" sign is case-sensitive. Let the user know that they must enter the address exactly as specified in the invitation when signing in.

User Role Types in the System

Wlaunch has three standard user roles, each with corresponding default access settings:

  • Company Manager Has full access to all system features.
  • Branch Administrator Has access to all features except:
    • The "Clients" section (to prevent downloading the client database).
    • The "Wlaunch Services", "Online Booking", and "System Access" sections.
    • Some settings.
  • Specialist Has access only to their own work schedule and settings.

How an Employee Accepts an Invitation

The user you invited will receive an email or SMS with a confirmation link. After following the link, the employee will need to set a password for signing in.

For further work, the employee needs to:

  • Download the Wlaunch mobile app or open the system in a browser.
  • Click the "Sign In" button.
  • Enter their email or phone number in the "Login" field (depending on the invitation method).
  • Enter the password they created when accepting the invitation in the "Password" field.

Flexible Permissions

The Flexible Permissions module allows you to further customize access rights within each role. You can set access to individual fields or parts of the system.

Any access level can be refined or restricted in the "System Access -> Permissions" section.

The Flexible Permissions module also adds a new role type to the system -- "Restricted Role". By default, this role has no access permissions, and you independently manage its rights through the settings in the "Permissions" section.

Please note: after your license expires, the Flexible Permissions module settings become inactive, and all users are automatically reverted to the default access settings corresponding to their base roles.
