Update Aug/26

A new Profit and loss (P&L) report, multiple payments and fiscalization in orders, and new knowledge base articles on notifications, reminders and discounts.

Profit and loss report (P&L)

A new report has been added to the financial reporting section - "Profit and loss (P&L)". It shows the company's income and expenses for the selected period, with the resulting profit at the bottom of the table.

The most important part: the report is built on the date the service was provided or the product ordered, not on the payment date. It is the only financial report in Wlaunch that counts this way - every other one is built on the dates money moved through the cash register. So a prepayment for a May service lands in May, not in April.

Rows are cash document articles grouped into income and expenses. Columns are periods, and the report picks their step itself: a range of up to 31 days is built by day, anything longer by month. The report opens on the current quarter, and the maximum range is a year. The "%" column is calculated against the income of the same period, so expenses can exceed 100%.

The main difference from the other financial reports is the drill-down. Any row opens down to specific services, products or memberships, and from there to an individual cash document. Companies with several branches get a "whole company / one branch" switch, and documents in different currencies are not mixed: a separate table is built for each. Export works at every level.

The reworked "Orders" section

Orders have received the same payment mechanics that already worked in appointments: several payments against one order, fiscalization of each payment, and a switch between two payment modes.

Several payments in one order. Previously an order accepted a single payment operation. Now the order details carry a "Payment operations" block listing every payment: the "Deposit" button adds an incoming payment, "Return" a refund to the client. This lets a prepayment and a top-up coexist in one order, as well as payment in parts from different cash registers - part in cash, part by card.

Every operation has its own set of fields: payment method (New payment or Add cash register document), cash register, amount, commission, operation date and time, status and comment. Instead of entering it by hand you can link an existing cash register document by its number.

Fiscalization of orders. If fiscalization is enabled for the branch, a "Fiscalize" button appears on the payment operation. Once fiscalization succeeds the receipt can be downloaded, and if the provider returns an error you can see its text and update the receipt status without recreating the operation. The providers are the same as for appointments: Checkbox and Vchasno.kasa.

How to switch the payment operation type. The mode is set separately for orders and for appointments in the branch settings: Settings -> General -> "Orders: payment operation type". Two values are available:

  • Single operation - the classic view with one payment per order. This is the default;
  • Multiple operations - the list of payment operations described above.

You can switch at any time, and the setting applies at branch level. Next to it sits the matching "Records: payment operation type" switch, which already defaults to Multiple operations for appointments.
